Business outreach privacy notice

How we got your details — and how to stop hearing from us

This notice is for people we have contacted in a business capacity about one of our services. It is separate from our website privacy notice, which covers people who visit this site or buy from it: https://tkjglobalmedia.co/privacy-policy/.

You can object at any time, and objection always wins. Use the unsubscribe link in any message, reply with the word “unsubscribe”, or email support@tkjglobalmedia.com. We stop immediately — there is no confirmation step and nothing to justify.

One objection stops all of us. We keep a single suppression list shared by every business in the company. Ask Phone Call Desk to stop and Legal Case Analyst stops too. That list holds your email address and the fact that you objected — nothing else — and we never remove an address from it except at your own request.

Who we are

TKJ Global Media Ltd, registered in England and Wales, company number 08272919, registered office 94 Queen Elizabeth Road, Wakefield WF1 4RJ.

We are the data controller for all of the outreach described here.

Data protection contact: support@tkjglobalmedia.com. We are not required to appoint a data protection officer and have not appointed one; that address reaches the person responsible.

Registered with the Information Commissioner’s Office as a data protection fee payer, registration reference ZC223758.

Which of our businesses may write to you

We run several businesses. The ones that currently carry out business outreach are:

  • Legal Case Analyst — automated analysis of contracts and other legal documents (legalcaseanalyst.com).
  • Phone Call Desk — call answering for businesses that cannot get to the phone (phonecalldesk.co.uk).

Every message says which service it is about and who sent it. If we add another business to this list we will update this notice before it writes to anyone.

We do not sell, rent, share or licence your details to anyone outside the company, and no other organisation may use this list for its own purposes.

What we hold about you

Your name and role where the address is a personal one, your organisation, your business contact details, a record of where we obtained them, and any correspondence you send us.

Nothing else. No documents, no information about your clients or customers, no special category data, no criminal offence data, and no profiling.

Where an organisation publishes a general address such as info@ or enquiries@, that is not information about an identifiable person, and we prefer it. Most of the addresses we hold are of that kind.

Where your details came from — all publicly accessible sources

Your own record says which of these applies to you:

  • Your organisation’s own public website — we record the page and the date we found it, and the email we send you quotes both, so you can check.
  • A public professional directory, for Australian barristers only — your profile on a Bar association directory.
  • A licensed business data provider, [DATA PROVIDER NAME], for United Kingdom contacts only. No provider is currently engaged; this applies only if one ever is.

To decide which organisations to approach in the United Kingdom we also use the Companies House public register, which carries company records — name, number, legal form, registered address, filing history — and no contact details of any kind. It tells us which companies exist and what they do. It is never a source of your email address.

Contains public sector information licensed under the Open Government Licence v3.0.

Sources we deliberately do not use

The Law Society’s Find a Solicitor service, the Solicitors Regulation Authority register, the Law Society of New South Wales register and the ACT Bar Association directory: their terms do not permit reuse for marketing.

We also do not seek the registered email address that every UK company must file with Companies House. Parliament has withheld it from public inspection (Companies Act 2006 s.1087(1)(za)), and we treat that as settling the question.

Why we hold it, and on what legal basis

Our legitimate interests (UK GDPR Article 6(1)(f)): introducing a service to organisations whose ordinary work suggests it would be useful to them — for Legal Case Analyst, organisations that routinely sign contracts, leases and employment or services agreements; for Phone Call Desk, small businesses whose staff are usually away from a desk and are likely to miss calls.

We have carried out and recorded a legitimate interests assessment for each campaign, and will provide a copy on request.

Where your details were originally collected for one of our services and we later write to you about another, we have assessed that as a compatible use under Article 5(1)(b): the purpose is unchanged in kind — a business-to-business introduction to a service of this company — the volume is capped in total rather than per service, one objection stops everything, and this notice tells you it may happen before it does.

How often we will contact you

At most two short emails in total — an initial message and, if you do not reply, a single follow-up at least ten days later.

That is a total across the whole company, not two per business. If Legal Case Analyst has already written to you twice, Phone Call Desk will not write to you at all.

We stop permanently and immediately on any objection, any negative reply, or a bounce.

How long we keep it

Contact records are kept for six months from the last message, then deleted.

Suppression records are kept indefinitely, because deleting them is how people get contacted again by mistake. A suppression record holds your email address and the fact that you objected, and is used for nothing else.

Who else sees it

  • Our email delivery provider, [ESP NAME], which sends the messages on our behalf under a written data processing contract. No provider is engaged at the date of this notice. We will name the provider, the country its servers are in, and the safeguards that apply, on this page, before we send anything.
  • Our website and email hosts, which necessarily process data in transit.

We do not transfer your details outside the United Kingdom except through the provider named above once it is named. Where a transfer is made, it is made under the UK International Data Transfer Addendum to the European Commission’s standard contractual clauses. You may obtain a copy of the safeguards from support@tkjglobalmedia.com.

Your rights

You have the right to:

  • object to this processing — see the top of this page; objection always wins;
  • access the information we hold about you, and receive a copy;
  • have inaccurate details corrected;
  • have your details erased;
  • restrict how we use them;
  • data portability — receive what you gave us in a machine-readable form.

To exercise any of these, email support@tkjglobalmedia.com. We respond within one month.

Complaints

Complain to us first if you would like to — you do not have to, and it does not affect your right to go to the regulator.

Use our complaint form, which you can complete electronically: https://app.legalcaseanalyst.com/outreach-privacy/#complain — it is operated by this company and reaches the same complaints register whichever of our businesses contacted you. Or email support@tkjglobalmedia.com.

We acknowledge every complaint, and we will always do so within 30 days (Data Protection Act 2018 s.164A).

You can also complain to the Information Commissioner’s Office at any time, without coming to us first: ico.org.uk/make-a-complaint, or 0303 123 1113.

Automated decision-making

None. No decision producing legal effects concerning you, or similarly significantly affecting you, is made by automated means. We do not profile you and we do not score you.

Changes to this notice

If we change it we will update the date below. If a change materially affects you — a new business writing to you, or a named provider — we will make that change before the processing it describes begins, not after.
